Your mission
Executive Admin Assistant will be responsible for managing the CEO's schedule, preparing documents and proposals, following up with vendors and customers, and assisting with various administrative tasks. This role requires excellent communication skills, attention to detail, and the ability to handle multiple tasks efficiently.
  • Review and summarize meeting notes for the CEO.
  • Ensure the CEO meets all deadlines by managing their schedule and reminders.
  • Scheduling and coordinating meetings, appointments, and events.
  • Acting as a point of contact between the executive and internal/external parties to meet deliverables and timelines. 
  • Prepare documents and proposals as needed.
  • Follow up with vendors and customers to ensure timely responses and actions.
  • Filter and research team requests before presenting them to the CEO.
  • Collaborate with the CEO on audit projects involving vendors and costing.
  • Handle personal calls related to bill payments and other time-consuming tasks.
Your profile
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to multitask and prioritize tasks effectively.
  • Strong attention to detail and problem-solving skills.
  • Ability to work independently and as part of a team.
  • Discretion and confidentiality in handling sensitive information
  • Effectively identify roadblocks and resolving issues
  • Identify problems and provide effective, solution-oriented responses.
  • Ability to handle sensitive information with the utmost confidentiality and professionalism.
  • Anticipating needs and taking initiative to address them before they become issues. 

Qualifications:
  • 5+ years of executive administrative experience (possesses long term stability)
  • Familiarity with project management tools and software.
  • Basic understanding of financial and audit processes.
